Homeschool Fox is operated by Homeschool Fox L.L.C., a Missouri limited liability company headquartered in Saint Charles, MO. This Privacy Policy explains how we ("Homeschool Fox", "we", "us", or "our") collect, use, and protect your personal information when you use our homeschool management platform.

Information We Collect

Account Information

When you create an account, we collect:

• Your name and email address
• Password (stored securely using industry-standard encryption)
• Optional: State/location for compliance tracking

Student Information

You may choose to add information about your students, including:

• First names (we don't require last names)
• Grade level
• Learning activities and hours logged
• Academic goals and progress

Usage Data

We automatically collect certain information when you use our service:

• Device type and browser information
• IP address (anonymized for analytics)
• Pages visited and features used
• Error logs to improve our service

How We Use Your Information

We use your information to:

• Provide our service: Track activities, calculate progress, generate reports
• Improve our product: Understand how families use Homeschool Fox
• Communicate with you: Send account notifications, reminders you've opted into, and important updates
• Process payments: Handle premium subscriptions through Stripe
• Provide AI features: Process activity descriptions and generate suggestions (premium users)

Information Sharing

We only share your information in these limited circumstances:

• Service providers: We use trusted third parties to help run our service (hosting, payment processing, email). These providers are contractually bound to protect your data.
• AI processing: Premium AI features send activity descriptions to OpenAI for processing. This data is not used to train AI models.
• AI assistants you connect: If you connect Claude, ChatGPT, or another AI assistant, we send it the account data it asks for on your behalf. See AI Assistant Connectors below.
• Legal requirements: We may disclose information if required by law or to protect rights and safety.

AI Assistant Connectors

You can connect an AI assistant such as Claude or ChatGPT to your Homeschool Fox account. Nothing is shared with an assistant until you sign in to Homeschool Fox and approve the connection.

What the assistant sends us. When you ask the assistant to log or look up homeschool work, it sends us the details of that request: activity titles, subjects, student names, times, durations, and notes. We store these as activities on your account, the same as if you typed them in. We do not receive or store your chat history, and the assistant only reaches us when you ask it to.

What we send the assistant. In reply, we return what the request needs: your students' names and grade levels, your subjects, logged activities, and hours toward your goals. We never return your password, payment details, or email address.

How the assistant handles it. The assistant's provider processes that data under its own privacy policy (Anthropic, OpenAI). Your settings with that provider decide whether conversations are kept or used for training.

Access and retention. Each connection uses an access token that expires after two hours and renews only while the connection stays approved. You can disconnect any assistant at any time from Settings → Connected apps, which stops its access right away. Activities logged through an assistant stay on your account until you delete them or your account, and follow the retention rules below.

Children's Privacy

Homeschool Fox is designed for use by parents and guardians to manage their children's education. Children do not create accounts, and we do not knowingly collect personal information directly from children under 13. Student records — names, grade levels, activities, and hours — are created and managed by the parent/guardian account holder.

We recommend parents only enter the minimum information necessary (first names and grade levels) and avoid including sensitive personal details in activity descriptions.

Student access

A parent can optionally turn on student access for a child. This gives the child a private link and a PIN, both chosen and shared by the parent, that shows only that child's own schedule and progress. When it is enabled, the following applies:

• The child does not create an account and is never asked for an email address, name, phone number, or any other contact information.
• The information that originates from the child is limited to: a timestamp when they mark an activity as done, a "last opened" timestamp recorded when they enter their PIN, and a count of failed PIN attempts used only to temporarily lock the link after repeated misses. All of this is visible only to the parent and is not used for any other purpose.
• No advertising, marketing, promotional messaging, or payment feature is shown on these pages.
• The child cannot see billing information, account settings, other children's records, or anything else in the parent's account.
• The parent can pause access, change the PIN, replace the link, or turn access off entirely at any time. Turning it off immediately stops the link from working.

Student access is off by default and only exists for a child if a parent explicitly turns it on.

Data Security

We take security seriously:

• All data is encrypted in transit (HTTPS/TLS)
• Data is encrypted at rest in our database
• Passwords are hashed using bcrypt
• We use secure, reputable hosting providers
• Regular security updates and monitoring

Your Rights

You have control over your data:

• Access: View all your data anytime in your account
• Export: Download your data in standard formats
• Correction: Update any information through your account settings
• Deletion: Request complete deletion of your account and all associated data

Data Retention

We retain your data as long as your account is active. If you delete your account:

• Your personal data is deleted within 30 days
• Anonymized usage data may be retained for analytics
• Backups are purged within 90 days

Cookies

We use essential cookies to:

• Keep you signed in
• Remember your preferences
• Protect against security threats

We do not use tracking cookies or third-party advertising cookies.

Third-Party Services

We use the following third-party services:

• Stripe: Payment processing (Stripe Privacy Policy)
• OpenAI: AI features for premium users (OpenAI Privacy Policy)

Account Deletion

You can delete your Homeschool Fox account and all associated data at any time. Deletion is permanent. Once processed, your students, activities, transcripts, and other data cannot be recovered.

Two ways to delete your account:

• Inside the app or website: Sign in, go to Settings → Account, and select "Delete Account" in the Danger Zone section.
• Without signing in (e.g., if you've already uninstalled the app): submit a deletion request at homeschoolfox.com/account/delete. We'll confirm your identity by email and process the deletion within 7 days.

Some records may be retained briefly after deletion in encrypted backups (typically up to 30 days) or where legally required for tax, accounting, or fraud-prevention purposes (e.g., payment records under IRS retention rules). These records are not accessible from the application and are not used for any purpose other than legal compliance.

Changes to This Policy

We may update this Privacy Policy from time to time. We'll notify you of significant changes by email or through a notice on our website. The "Last updated" date at the top indicates when this policy was last revised.
